Safety Management System (SMS)

Dear Team,

Since December 2024 Safety Management (or SMS) is part of the EASA Part-145 regulation for approved maintenance organisations. Also, several other authorities require SMS as part of their Part-145 approval.

Safety is our top priority, and our SMS plays a key role in ensuring a safe working environment. But what does SMS mean for you in your daily work?

What is SMS?

SMS is a structured approach to identifying, managing, and reducing safety risks. It helps us prevent incidents and maintain a safe workplace for everyone.

What do we expect from you?

  • Identify risks at your station – Stay alert to (possible) unsafe situations and report them immediately.
  • Report incidents and near-misses at your station – This helps us prevent future occurrences.
  • Follow company and airport procedures – They are in place to protect you and your colleagues.
  • Work together – Safety is a team effort.
  • Ensure Safety, Best practices & SMS is a standard topic in your team meetings

Use the reporting system to share safety concerns and improvement ideas. Report occurrences and improvements in the Safety Plaza: Safety - Engineering Maintenance - myklm

Participate in safety briefings (part of your start of the shift) and training sessions through MyLearning.

Encourage and remind each other to work safely and share best practices.

Examples are:

  • Use of controlled maintenance data
  • Use of personal protection (glasses, face mask, gloves, shoes, protective clothes)
  • Use of proper stairs or high lift
  • Use of harness
  • Use of calibrated tools (check date)
  • Use of consumables (grease, oil, tape) within the expiration date

When a change at your station has the potential to affect safety, ensure the Management of Change (MoC) process is followed. The MoC process is to identify (and mitigate) risks of an intended change in our daily maintenance tasks. The MoC procedure is available on the Safety Plaza website (and will also be available in English soon).

Examples for changes that require an MoC are:

  • Opening a new station
  • Closing a station (if MOE 5.03 List of Line Stations is affected)
  • Significant changes in the station organisation (management, manpower)
  • Change in (EASA/customer) regulation
  • New contract or change in frequency with a customer (manpower)
  • Change in contract (aircraft type – customer authority authorisations)
  • Change in location / office / storage facility
  • Significant changes in tooling and/or equipment

Contact S&Q Liaison Office for questions and inform them for any changes as it may affect the (customer) approval certificate and/or MOE supplement.

Safety is not an individual task—it is a shared responsibility. By actively applying SMS, we create a safe and efficient working environment for everyone.

We have a safety structure in the organization (SAG=Safety Action Group) and on station level this is secured in the meetings with the Maintenance Manager.
